ERS Privacy Notice

This notice explains how PVO Labs LLC ("PVO Labs", "we", "us"), 1209 Mountain Road PL NE, STE R, Albuquerque, NM 87110, United States, handles personal information in ERS (Estimate Recovery System). It completes our general Privacy Policy, which covers pvolabs.com and purchases.
1. Two kinds of information
- Account information: about you and your team (name, business name, email, business postal address, time zone, sending settings, login activity).
- Customer Data: the information you add about your own customers (name, email, phone if you add it, estimate title, amount, dates, estimate files, notes) and what happens with each estimate (emails sent, bounces, the customer's choice on the estimate page, unsubscribes).
For Customer Data, we act on your behalf, as your service provider. You decide which customers to add and you are responsible for having the right to contact them.
2. How we use it
- To provide ERS: store your estimates, send follow-up emails in your business name, show you where each estimate stands, and send you the alerts you ask for.
- To keep ERS secure and working: prevent abuse, enforce sending limits, handle bounces and spam complaints, fix errors.
- To support you and to communicate with you about your account and your plan.
- To understand how the app is used in aggregate, so we can improve it.
We do not sell personal information, do not share it for cross-context behavioral advertising, and never use Customer Data to market to your customers.
3. What your customers see and what we record
Your customers receive emails from your business name. When a customer opens the estimate page linked in an email, ERS records the visit and the choice they make (accept, still deciding, decline, unsubscribe), with technical information used for security, such as a shortened (hashed) IP address and the browser type. This lets you see the status of your estimates.
4. Service providers
We use these providers to run ERS. Each processes data only for us:
- Supabase (database, file storage and login), United States;
- Vercel (application hosting), United States;
- Resend (email delivery), United States;
- Sentry (error monitoring) and PostHog (product analytics), which receive technical data about app usage and errors;
- Shopify (purchases and billing).
We may also disclose information when required by law or to protect our rights and users.
5. Retention
We keep your Account information and Customer Data while your account is active. Deleted estimates can be restored for 30 days, then are permanently deleted. After you cancel (or when an earlier trial ends without a purchase), we keep your data for 30 days so you can come back or export it, then we delete it, except billing and legal records we must keep.
6. Security
Each business's data is isolated from every other account at the database level. Data is encrypted in transit, estimate files are stored privately, and access within our team is limited. No method of storage or transmission is completely secure.
7. Your rights and your customers' rights
You can access, export, correct or delete your data from ERS or by emailing us. Depending on your state of residence, you may have additional rights described in our general Privacy Policy.
If one of your customers asks us about their information, we will refer them to you, since you control that data, and we will help you respond. Any customer can stop follow-up emails at any time with the unsubscribe link in each email.
8. Children
ERS is for businesses and is not directed to anyone under 18.
9. Changes
We may update this notice. The "Last updated" date shows the latest version.
